Health and Productivity Management

Promotion of Health and Productivity Management

To follow the Company's corporate philosophy, which includes the statement, "We pledge to care for our employees and their families to ensure that everyone finds joy in their work", in October 2018 the T-Gaia Health Declaration was devised, based on the acknowledgment of the importance of proactive support for employees' efforts on maintenance and improvement of their health.

We were selected for the sixth consecutive year since 2019 as a Health & Productivity Management Outstanding Organization under a program conducted by the Ministry of Economy, Trade and Industry and the Nippon Kenko Kaigi in recognition of our efforts to maintain and improve the physical and mental well-being of employees.

Promotion Structure of T-Gaia's Health and Productivity Management

Promotion Structure

We have positioned health and productivity management as a management issue, and have appointed the HR officer as the person responsible for promoting health and productivity management. We have also established a DEIB & Well-Being Promotion Team within the Human Resources and General Affairs Department to provide comprehensive support for employees' health.
The staff and public health nurses affiliated with this organization are responsible for understanding information regarding the health condition of employees and working to resolve and improve our health issues. They work together to promote measures and share information with management through management meetings and personnel committees, and with industrial physicians and human resources personnel at each site through health committees, etc., in order to maintain and improve the health of employees.

Health and Productivity Management Strategy Map

The "Human Resources Strategy" in the Medium-term management plan states that "we will create an environment where all employees can work with excitement and continue to grow together with our employees." We are working to create a workplace where employees can work healthily and energetically by enhancing measures and support systems in line with health and productivity management.
In addition, we have illustrated the connections between the expected effects of implementing health and productivity management and specific initiatives for the management issues to be solved through health and productivity management.
As a tool for organizing these connections, we use the "Strategic Map" published in the "Health Investment Management Accounting Guidelines" formulated by the Ministry of Economy, Trade and Industry.

Initiatives for Health and Productivity Management

Initiatives for Employees' Health Issues

We believe it is essential to actively support the maintenance and improvement of employees' health in terms of both their mind and body, and use data from regular health checkups and stress checks to identify employees' health issues and promote health and productivity management.
Analysis of health checkup results over time showed that 1.9% of employees had a worsening condition compared to the previous year.
If the current situation continues, as the average age of employees increases, the rate of findings will increase, leading to risks such as leave of absence or resignation, which could have a significant impact on the sustainable business growth.

In addition, the data from the stress checks and the results of a simultaneous survey on lifestyle habits revealed that issues such as stress management, diet, self-care for working women, sleep, and smoking prevention were areas in need of improvement.

In light of these issues, we are promoting various measures, believing that continuing to implement initiatives that improve employees' health literacy and change their behavior through interviews with public health nurses (health guidance) and follow-up measures for stress checks will lead to improvements in the final health-related target indicators, such as the rate of abnormal findings in health checkups and the aggregated results of stress checks.

Health Check

We use a booking agency to provide medical checkups at the time of employment and periodic medical checkups, and provide health checkups to employees aged 35 and over, the costs of which can be subsidized by the health insurance association. We work with human resources personnel at each location to encourage employees to take regular health checkups, with the goal of achieving a 100% participation rate, and provide health checkup data to employees under 40 as well. In addition, the health insurance association also provides specific health guidance, including support to prevent high-risk individuals from becoming seriously ill, based on the results of regular health checkups, in an effort to prevent and detect illness early among employees.

FY2023 Participation rate for regular health checkups (including comprehensive medical examinations): 100%

Health Guidance (Interview with the Public Health Nurse)

In order to support the health management of our employees, we use the results of regular health checkups to provide individual interviews with full-time public health nurses. Public health nurses provide professional advice on improving lifestyle habits and health conditions, and encourage employees to seek medical attention. In cooperation with industrial physicians, they work to prevent and detect illnesses early, and reduce the rate of employees with medical findings, with the goal of achieving a 100% follow-up rate for those eligible.

FY2023 Health guidance recipients/follow-up rate: 51.3%

Mental Health Measures

We conduct stress checks on all employees, with the goal of a 100% participation rate, in order to detect workplace issues and mental health issues at an early stage. The participation rate has remained high every year since FY2017. In addition, after conducting stress checks, we use the results of organizational analysis to strive to maintain a good working environment. From FY2021 onward, we have been conducting line care training for managers in departments with high stress levels, where they learn about early detection points for illness, and self-care training for all employees, where they learn about psychological points for improving mental toughness, via online and e-learning. For those with high stress levels, we ask all employees if they would like to have an interview with an industrial physician, and public health nurses also approach them individually.

FY2023 Line care training/participation rate: 100% Participant satisfaction rate: 88.3%
Self-care training/participation rate: 93.1%
Investment amount for this initiative: 3.4 million yen

TG-Support Lounge

To ensure that employees can work with enthusiasm, we have set up the "TG-Support Lounge" within our head office as an in-house consultation desk. The "TG-Support Lounge" is a place of relaxation to support employees, where in-house industrial counselors provide support in solving various worries and problems and provide emotional healing. Since we opened the lounge in April 2018, it has gradually become more widely used among employees, with more people using it casually.

FY2023 TG-Support Lounge Number of users: 133

TG-Massage Room

We have set up massage rooms on-site since December 2002 with the aim of maintaining and improving the health of our employees, relieving fatigue and preventing reduction of productivity caused by stiff shoulders and back pain. Employees have given the facility positive reviews, saying, "I can use it during work hours, and it helps relieve pain on my shoulders, neck, and head," and "It's helpful because I can learn casual health care methods, such as how to stretch.

FY2023 Massage room occupancy rate: 74.3%

Initiatives for passive smoking prevention/smoking cessation

Since May 2021, we have designated the 22nd of each month plus May 31st (International No Tobacco Day) as "T-Gaia No Smoking Days", and have held monthly events to raise awareness about passive smoking prevention and smoking cessation. We support employees in their challenge to quit smoking by sending out encouraging messages from industrial physicians and HR officer along with announcements of No Smoking Days, and by actively encouraging employees to participate in an online smoking cessation program (with no participant fees) run by the health insurance association.

FY2023 Online Smoking Cessation Programs
Number of participants: 27 (1.7% of smokers)
Number of participants who have continued to quit smoking: 6 (out of 16 who completed support)
Investment amount for this initiative: 10 million yen (form health insurance association)

Development of Exercise Habits

In order to resolve issues such as lack of exercise and increased stress due to reduced opportunities for communication, we participate in external inter-company step count events as part of our efforts to promote employees' health.
■Fifty-three Stages of the Tokaido Walk Rally on Smartphone~Team Competition・2023 SPRING~
Event period: June 1, 2023 to June 30, 2023

FY2023 Number of participants in the walking event: 101

Infectious Disease Prevention Measures

In the head office area, we provide influenza vaccinations to our employees (insured persons) and their families (dependents). In addition, we are taking measures to protect the safety and health of our employees, and to ensure the continuation of stable business operations, such as providing masks, disinfectants, and essential medications at each location.

FY2023 Number of employees and their family members vaccinated against influenza: 1,848
Investment amount for this initiative: 7.2 million yen

Initiatives for Occupational Health and Safety and Risk Management

Workplace Patrol

As part of our risk management efforts that take occupational safety and health into consideration, we have expanded the scope of workplace patrol by full-time industrial physicians and public health nurses from fiscal 2023 in order to further ensure the safety of the work environment in which our employees work. In addition to offices, we visit our directly managed shops, logistics centers, and transit centers to directly check whether the room temperature, humidity, and lighting are appropriate, whether rest areas are secured, whether essential items in the event of a disaster (helmets, fire extinguishers, drinking water, etc.) are equipped, and whether there are any hazardous materials. In this way, we strive to maintain and improve the working environment so that employees can work safely and healthily.

FY2023 Number of patrols: 29 (19 in shops, 10 outside shops)

Health Committee

In order to ensure an occupational safety and health management system, we have established Health Committees to investigate, deliberate, and hear opinions regarding the promotion of hygiene management measures. The meetings are held once a month at the head office, regional headquarters and branch offices, and the minutes are posted on the intranet to help maintain and improve the health of employees.

Initiatives for Health-related Issues Specific to Women

Femtech Seminar

In September 2022, we entered the Femtech* business, leveraging the strong customer service skills we have cultivated in mobile phone sales and other businesses, with the aim of solving health issues of all women, including working women.
In May 2023, we held an in-house seminar and Femtech product exhibition at our Ebisu head office and the West Japan Regional Headquarters. The video of the seminar was posted on our internal e-learning system, encouraging employees who were unable to attend on the day to view it later.
In addition, in June and July of the same year, we held a Femtech lecture for managers at the National Leaders' Conference.

*Femtech is a coined term derived from "Female" and "Technology." It refers to products and services that use technology to address women's health issues.

Introduction of "Health Support Services" related to infertility treatment, pregnancy preparation, and women-specific concerns

Free counseling related to infertility treatment, pregnancy preparation, and women-specific concerns, and free AMH (ovarian reserve) testing are available at Nishitan ART Clinic, which specializes in infertility treatment.

Online Seminar on "Healthcare Methods for Working Women"

To help women utilize the information on their own health issues and deepen their understanding, we have posted a seminar video entitled "Healthcare Methods for Working Women" on our in-house e-learning system. The video covers the mechanisms behind physical ailments modern women face, their relationship to stress, the mechanisms of female hormones that have a major impact on women's minds and bodies, and how to best deal with female hormones according to the stage of life. This leads to improved health care and behavioral change for each participant.

"Working Women's Health Score" Survey

With the aim of creating a pleasant work environment for women, we conducted a "Working Women's Health Score" survey of female employees to understand their actual health status and work environment (survey conducted by Mitsubishi Estate Co., Ltd. and FAM Medico Co., Ltd.; supervision by Kanagawa Prefectural University of Health and Welfare). Many working women face health issues specific to women, and these often affect their work. By utilizing the results of this survey, we hope to visualize issues related to women's health and work and find solutions to them.

FY2023 Survey respondents: 742
